Who we are

neoWitan is an IT service company. Our core activity is to provide IT and functional consultants to our customers. We also help them in sourcing IT and functional talents for their own needs.

What we collect

The core service we offer to our consultants and clients is the introduction of consultants to our clients for the purposes of temporary engagement. However our service expands to supporting individuals throughout their career and to supporting businesses’ resourcing needs and strategies.

Our legal basis for the processing of data is our Legitimate Business Interests, described in more detail below. We will in some instances rely on consent for particular use of your data and you will be asked for your express consent, if legally required. Examples of when consent may be the lawful basis for processing include permission to introduce a candidate to a client.

As an IT Service Company we introduce consultants to clients to fulfil missions. The exchange of personal data of our Consultants and our client contacts is a fundamental, essential part of this process.

Acting in sourcing process, we introduce candidates to clients for employment. The exchange of personal data of our candidates and our client contacts is a fundamental, essential part of this process.

In order to support our candidates/consultants career aspirations and our clients resourcing needs we require a database of candidate/consultants and client personal data containing historical information as well as current resourcing requirements. To maintain, expand and develop our business we need to record the personal data of prospective candidates and client contacts.

How we may share your Data

We may use and disclose personal information about you for the purpose of find a mission for you. We may disclose personal information to potential customers, nominated referees; any person or body we are required to disclose to by law; to past educational organisations to verify qualifications and to competent organisations that conduct background and/or criminal record checks (so long as such organisation undertakes to comply with privacy laws and keeps all supplied information, confidential).

In addition, we require your data for the following reasons:

Where we store and process your personal data

We keep your information in files in in electronic database on secure platforms which are password protected and has strict user restrictions.

All information you provide to us is stored on our secure servers. Unfortunately the transmission of information via the internet is not completely secure. Although we do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try and prevent unauthorised access.

As an environmentally conscious business, we try to limit any printed materials especially any that contains personal information. In the event that we do have any printed personal information e.g. a CV, it is company policy that documents are not left on desks and are locked away each evening. We shred all confidential paperwork on a daily and weekly basis.

Senior management oversees ensuring that data records are kept confidential and secure.  To prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect verbally and electronically and all of our employees are aware of this through our company policies and their contracts of employment.

Our main suppliers listed below are who we use to help store and protect your data.

Google We store some of our files on Google Drive in the context of a G Suite service which is GDPR compliant. Access to this service is password secured and we do not share our files/directories with anybody not working for neoWitan.
Gandi Our websites (the commercial one and internal ones including our CRM and our ATS) are hosted by Gandi. Access to our internal websites and to the administrative part of our commercial website is password protected and strictly granted to our employees who need to access the corresponding functionality.

 

How we use cookies

We aim to keep your data for as long as required, we do regular checks with our candidates/consultants to find out if the data we hold on them is correct and if they still would like to be kept on our system or if they still wish to be contacted regarding any job opportunities / mission we have.
